Interested Vendors can submit a proposal for MultifunctionDevices and Lease Services to abrown@bakerripley.org.The deadline for submitting a proposal is Wednesday, December 30, 2026, by10:00 AM (CT).
The vendor shall provide new equipment, service, supplies, installation, and repair for multifunction devices and desktop printers at Agency locations. The scope includes basic operation requirements (e.g., new equipment, hard drive, various paper sizes, duplexing, finisher, stapling, network compatibility), color capabilities, fax functionality, service requirements (e.g., network engineer, full-service maintenance, training, firmware updates, quarterly performance reviews, background checks for technicians), security features (e.g., Active Directory authentication, image overwrite, encryption, secure print), quarterly reporting, inventory (OEM toner and staples), implementation, and a strategic plan. Delivery must be within 30 working days after receipt of purchase order, and installation includes connection to network within two business days. The vendor must also provide an online customer portal, maintenance and technical support with a one-hour response time and on-site service within 24 hours, and a loaner if equipment cannot be repaired within two business days. Contracts/leases can be cancelled without penalty if equipment does not maintain 90% uptime over three months.
