The selected vendor will provide a DocuWare online document management and workflow solution, including software licensing, storage, document capture and processing, implementation and configuration, forms and workflows, data migration from an existing OnBase system (approximately 321,105 files, 9.76GB database, 25.2GB filesystem), integrations, training, and ongoing support. The initial implementation will focus on the Human Resources department, with an estimated 4-6 file cabinets. The vendor must also meet data privacy and security requirements including FERPA compliance, encryption, access control, and data breach notification. The project includes migrating all existing OnBase records into the new DocuWare structure, with the selected vendor responsible for producing the source-system export.
