The Chicago Housing Authority (CHA) is seeking qualified vendors to provide freestanding filtered rentals
of one (1) water & one (1) nugget ice machines along with the associated maintenance and support within
each of six (6) break rooms and one (1) small conference room at CHA Headquarters (CHA HQ – 60 E Van
Buren St Chicago, IL 60605) & two (2) breakrooms Charles A. Hayes Family Investment Center (FIC – 4859 S
Wabash Ave. Chicago, IL 60615).
The selected vendor shall be responsible for turnkey installation including delivery, placement/leveling,
water and electrical connections, and full system start-up. maintaining equipment in good working
condition throughout the contract term based on standard regulation and compliance. Machines shall be
touchless sensor dispensers capable of providing both hot and cold water. Hot water dispensing shall
include a safety lock or two-step activation feature.
Filtration systems must meet NSF/ANSI 42, 53, and 372 standards & Water supply connections shall
include approved backflow prevention devices. Electrical capacity shall meet a standard one-hundred-
twenty-volt (120v), sixty-hertz (60Hz) operation. Energy-efficient & Air-cooled models are preferred.
Vendors must state drainage needs including gravity drains or pump-assisted drainage.
Quarterly preventative maintenance shall be performed including but not limited to leak testing,
temperature verification, sensor functionality checks, and ice production validation. Machine filtration
shall be replaced every 6 months or earlier.
Service tags shall be visible on all machines confirming last date of service including impromptu repairs.
Faulty switches, indicators, connectors and all equipment associated with each water or ice machine shall
be replaced at no charge to the CHA.
The selected vendor shall respond to all service calls within twenty-four hours.
Defective machines that have been serviced should not indicate any need for additional service. If
defective and/or beyond repair, machines shall be replaced within 24-48 hours. Warranty coverage must
remain active and in effect for the full length of the lease agreement, regardless of manufacturer warranty
periods. Detailed Logs and a standard checklist shall be sent to CHA for all maintenance repairs.
CHA HQ SP 91249 Water & Ice Machines – Supply & Maintenance
In addition to the execution of this quote form, a separate document shall be submitted for:
• Machine, product details, & dimensional drawings,
• Equipment certifications, electrical and plumbing requirements
• Service level agreement & service coverage.
• installation/delivery timelines and commissioning documentation.
All Submissions require full compliance with all specifications, dimensional constraints, and successful
commissioning. Pricing should be inclusive of installation, preventive maintenance, filter replacement, and
any warranty extensions.
The selected vendor shall provide full technical compliance, total cost of ownership, service
capability, and references.
All Payments shall be issued monthly or quarterly per the annual pricing scheduled
